Royalties and Subrights Associate

FLSA Status: Exempt
Reports to: Group Publisher
Employment Status: Full-time

Overview

As the Royalties and Subrights Associate for Chicago Review Press and Triumph Books, you will provide key support in licensing subsidiary rights for our titles by preparing materials and catalogs, communicating with rights agents, and tracking pending deals. You will also take a leading role in the management of our royalty statements, working with our accounting team to ensure our reports are accurate and sent on time. A successful Royalties and Subrights Associate will have excellent communication and interpersonal skills, be flexible, organized, and efficient, and meticulous with their work.

Responsibilities and Duties
  • Facilitate subrights deals with our rights director and publisher, including providing manuscript materials to our rights agents, approving translation and audiobook offers, tracking pending deals, obtaining author approvals, providing authors with contracts and copies of licensed editions, and confirming payment applications with accounting.
  • Enter all contracts for royalty payments into our royalties databases, create spreadsheets for advances and subrights adjustments to statements, and create manual royalty statements and royalty-supporting documents as needed.
  • Verify permissions for cover and interior image licenses, create invoices, coordinate transfer of design files, and proof and approve covers for audiobooks and translated editions.
  • Create pitch materials for use at foreign rights fairs, including catalogs and sell sheets, and manage the travel arrangements and calendar appointments for such conferences.
  • Serve as liaison for authors and agents on royalty statement queries, payee changes, and address changes.
  • All other duties as assigned.
Qualifications
  • Bachelor’s degree or equivalent work experience required.
  • 1-2 years of experience in publishing or related field is a plus. 
  • Meticulous and organized with excellent communication skills is required.
  • Completion of a publishing course is a plus.
  • Physical abilities: The ability to sit and/or stand for long periods of time in an office environment.
